Role-Based Security Overview

In this article, you'll learn about the four different permissions levels in your Alpine database.

Background

Your Alpine database has four predefined security roles available in the system. User accounts can be assigned one of four different permission levels: Admin, Member, Entry Only “Plus”, and Entry Only.

Role

Description

Admin

Admin have full editing and invitation powers, and can see financial details on every record.

Member

Members can view all financial details, but cannot edit or change anything in the database.

Entry Only Plus

Similar to 'Entry Only', but can see all non-transactional Actions, as well as run Constituent Reports that have been shared with them.

Entry Only

Entry Only Users can only see Actions they input, restricting their access to only inputting data and updating individual Constituent profiles without being able to run reports.

 

Compare user-level permissions

The tables below highlight the different permissions for each type of User in your Alpine database.

    Actions

    Actions represent a way to classify an entry in your Alpine database. There are several different Action types available in Alpine, which can either be transactional or non-transactional. 

    • Transactional Actions include DonationsMembership Payments, and RSVPs
    • Non-transactional Actions include Check-InsVolunteer HoursEmail SendsEmail OpensEmail ClicksPhone CallsTextsMeetingsLetters, and Notes

    NOTE: Entry Only Users can Edit/View/Delete Actions that they themselves input into Alpine. This includes the ability to:

    • View/Edit Attachments on Actions they input
    • Verify and Unverify Actions they input

    NOTE: Entry Only Users can View/Edit Actions they created, but if another User edits the Action, they will not be able to see the Action anymore.

    CAUTION: Entry Only Plus Users are unable to view transactional Actions in Alpine. This includes Donations, Memberships, and RSVP’s. 

    Users with this permission level can still view Tags/Tag Groups and Campaigns/Campaign Categories in Alpine. Users should use caution when creating Tags/Tag Groups and Campaigns/Campaign Categories that might indicate a Constituents financial status (e.g., Major Donor).

     

    Constituents 

    A record that represents an individual or entity in your Alpine database.

    Campaigns 

    Campaigns are ways to organize and label Actions. Each Action can have as many Campaigns as you apply, depending on your needs. For example, a donation Action can be labeled with “Check” if you received a check donation, or “Cash” otherwise. You can add additional Campaigns to your donation Action type to assign a particular fund, or appeal.

    NOTE: Entry Only Users can only Edit/View/Delete Campaigns and Campaigns Categories attached to Actions they created in Alpine.

    Tags

    Tags are what you use to segment your constituency base. Each Constituent can have as many Tags as you apply depending on your needs. For example, business entities that give to your organization can be “tagged” as “Organization”. Tags are often used to identify “Board Members”, “Volunteers” or “Major Donors”. Tags are reportable and a great way to find segments within your supporter base.

     View Reports pinned to Dashboard

    CAUTION: Entry Only Plus Users are able to view, but not edit, any report that has been pinned to their Dashboard. Reports can be pinned via the reporting widget by an Alpine User with either Member or Admin permission levels.

    This means that an Entry Only Plus User can potentially view a report containing financial data if that report has been pinned to their Dashboard.

    NOTE: Entry Only Users can access the Actions Tab but will only be able to Edit/View/Delete Actions that they created.

    NOTE: Entry-Only Plus users can only see Dashboard Widgets that are pinned to their Dashboard by an Admin or Member user account.

    CAUTION: Although system notifications can only be set up by Admin and Member Users, Entry Only and Entry Only Plus Users are able to view any system notification that they have been included on. 

    This means that Entry Only and Entry Only Plus Users can potentially view financial data if they have been set as a notification recipient on the Settings page.
