How to Assign Tasks in Alpine

This article covers how to assign tasks to a users in your Alpine database

Understanding Actions in Alpine

Actions are the building blocks for tracking interactions in Alpine. Each Action represents a specific type of engagement with your constituents. Alpine offers a variety of Action types to accurately classify different interactions:

  • Donations: Record manual donation entries
  • RSVPs: Track event responses
  • Membership Payments: Document membership payments
  • Check-Ins: Note when someone attends an event
  • Volunteer Hours: Log time contributed
  • Email Interactions: Record sends, opens, and clicks
  • Communications: Document phone calls, texts, meetings, and letters
  • Notes: Capture miscellaneous information

Actions can document past activities or plan future ones. For example, you might create a Phone Call Action to record a conversation you just had or to remind yourself to make that call tomorrow.

The Assigned User field enhances team collaboration by clearly indicating who's responsible for each Action. This creates accountability while giving your team visibility into who's handling what, making coordination seamless and efficient.

Assigning Tasks

There are two methods for assigning tasks to users in Alpine. You can assign a task by either selecting an individual Action or using the Actions screen to manage multiple tasks at once.

To assign an individual Action, simply navigate to the specific Action you wish to assign, click on the 'Assigned User' field, and select the appropriate team member from the dropdown menu. This method is ideal for straightforward assignments where you want to designate a single responsibility.

Alternatively, if you need to assign multiple Actions simultaneously, the Actions screen provides a more efficient approach. After filtering your selected Actions, you can utilize the Assign button to efficiently assign multiple Actions to a specific user all at once. This is particularly useful for managing larger tasks or when delegating responsibilities to a team member for a project with numerous components. By utilizing these assignment methods, you can streamline task management within your team and enhance overall productivity.

NOTE: When Actions are initially created, they remain unassigned. However, once an Action is assigned to a user, it can be easily reassigned to any other user within the database.
