This article will cover how to connect your Microsoft Outlook account to Alpine.
Before you start
- You'll need a Microsoft Outlook account to access this integration.
- The following steps can only be completed by those with Admin permission levels in Alpine.
Connect Microsoft Outlook with Alpine
To connect your Microsoft Outlook account to Alpine, follow these steps.
- Log in to your Alpine account.
- Click Settings on the left navigation bar.
- Scroll down to the Integrations section and look for Microsoft Outlook.
- Click the Connect Your Microsoft Outlook Account button.
- Sign into your Microsoft Outlook account using your username and password.
- Click the Accept button on the Permissions page to enable Outlook integration.
- If successfully connected, there should be three fields that appear in the Microsoft Outlook section: Email Accounts To Sync (Newline Separated), Suppressed Email Accounts (Newline Separated), and Suppression Exception Subject Line Keyword.
- You can now check to see if you successfully connected your Outlook account by clicking the Test Status button. A successful connection will return Connected: [ORGANIZATION NAME]. An unsuccessful connection will return Connection Missing/Incomplete.
Sync Emails from Microsoft Outlook into Alpine
Before you start
- Make sure that you have successfully connected your Microsoft Outlook account with your Alpine database.
The following steps can only be completed by those with Admin permission levels in Alpine.
How it works
You can configure your Alpine database to automatically sync emails from your Outlook account. Once configured, emails containing specific keywords in the subject line will be logged to Alpine on a nightly basis.
Select the email accounts you want to sync into Alpine
To select the email accounts that you want to sync into Alpine, follow these steps.
- Log in to your Alpine account.
- Click Settings on the left navigation bar.
- Scroll down to the Integrations section and look for Microsoft Outlook. There will be three fields that require input: Email Accounts to Sync (Newline Separated), Suppressed Email Accounts (Newline Separated), and Suppressed Exception Subject Line Keywords.
- Type each Outlook email account that you want to sync into Alpine under the Email Accounts to Sync (Newline Separated) field.
- In the Suppressed Email Accounts (Newline Separated) field, type out each email account that you want to suppress. Suppressed accounts by default will not be synced to Alpine unless they include specific keywords in the email subject line.
The image below shows that the Outlook accounts for Anne Larsen and Cheryl Mora have been suppressed. By default, their emails will not be recorded in Alpine. - The last step is to fill in the Suppressed Exception Subject Line Keywords field. This field is used in tandem with the Suppressed Email Accounts (Newline Separated) field. Emails from suppressed accounts will only be synced to Alpine if they contain specific keywords in their subject line.
The image above shows the email accounts for three employees: Anne Larsen, Cheryl Mora, and Robyn Sherman. Robyn’s Outlook emails will automatically be synced with Alpine every night. Anne and Cheryl’s emails will be excluded from Alpine by default. For emails they do want to record, they would include “Generic Nonprofit” in the subject line of their emails.
NOTE: For the Email Accounts to Sync (Newline Separated) field, place each unique email address from your organization on a separate line. Each email inbox listed in this field must have the same domain name.
Additionally, suppressed emails accounts must be listed in the Email Accounts to Sync (Newline Separated) field and the Suppressed Email Accounts (Newline Separated).
