What It Means

Pipeline

A structured workflow framework for a fundraising effort. Has a name, stages, a goal amount, and an end date. Created once, used to create a collection of many Opportunities.

Stage

A step in the giving journey (e.g., Identification, Cultivation, Solicitation). Each stage maps to a Campaign internally. “Declined” and “Stewardship” are always included.

Opportunity

A dedicated object for tracking a single ask for one constituent, including amounts, dates, assignee, and a full action log.

Ask Amount

The amount being requested from the constituent.

Projected Amount

The gift officer's best estimate of what will actually come in. Entered manually, and not required.

Actual Amount

Auto-calculated from verified Donation Actions linked to the Opportunity. Cannot be edited directly.

Action

A logged interaction or event tied to an Opportunity (e.g., phone call, meeting, donation pledge, RSVP).

Verified / Unverified

Future-dated Actions are unverified and excluded from statistics until the date passes and a user manually verifies them. Past-dated Actions are auto-verified.

ACTIVE / ARCHIVED

Pipeline status for filtering purposes.

My To-Dos

On the Pipeline overview, shows the top three unverified actions assigned to the logged-in user, sorted by soonest overdue first.

Summary Card

A collapsible panel showing total goal, projected, raised, ask amounts, and constituent count. Collapsed by default.

Customer Question

Suggested Response

How is this different from how we used Campaigns and Tags before?

Pipelines is a purpose-built structure for managing gift conversations. Instead of manually tagging constituents and actions to approximate a Pipeline, you now have dedicated stages, amounts, assignees, and a full action log — all in one place, with automatic totals.

Can I add existing Actions to Opportunities?

Yes – assign the Campaign specific to the Opportunity to the Action.

Can I move an Opportunity from one Pipeline to another?

Not currently. Each Opportunity belongs to one Pipeline. If you need to track the same constituent in a different campaign, you'd create a new Opportunity in that Pipeline.

Why can't I edit the Actual Amount?

Actual Amount is automatically calculated from verified donation actions linked to the Opportunity. It updates as those actions are verified.

Will stage changes trigger any emails or notifications?

Not at this time. Overdue task reminders appear as banners inside the app, but there are no outbound email notifications yet.

Who can access Pipelines?

All users with access to the Pipelines module can view summaries. Creating, editing, and managing Pipelines and Opportunities is available to users with the appropriate permissions.

Can I delete a stage?

You can remove a stage when creating or editing a Pipeline, but only if no actions are associated with it. The Declined and Stewardship stages are always present and can't be removed.

What does Archived mean — do we lose the data?

Archiving a Pipeline is just a status for filtering purposes. All data, Opportunities, and actions are fully preserved and accessible. You can un-archive at any time.

Can multiple gift officers be assigned to one Opportunity?

Currently, one assignee is set per Opportunity. You can update the assignee at any time directly from the table.

Can I delete a Pipeline?

Yes, only if it does not contain Opportunities. If the Pipeline contains Opportunities, it should be set to ARCHIVED instead.

Can I delete an Opportunity?

Yes, only if it does not contain any Actions. If the Opportunity contains Actions, it should be set to “Declined” instead.
