Adding an Existing Action to an Opportunity
When a gift officer logs an Action on a constituent's profile — a phone call, a meeting, a donation — that Action isn't automatically connected to any Opportunity. If the interaction is relevant to an active ask, you can link it to the appropriate Opportunity so it's reflected in that gift conversation's full history.
This article explains when and how to do that.
Before You Start
To link an existing Action to an Opportunity, you'll need an existing Opportunity in a Pipeline for the constituent in question. If one doesn't exist yet, create the Opportunity first and add the Action directly from within it. See: Creating an Opportunity > Adding Actions.
When to Use This
The most common scenario is when an interaction with a donor was logged on their constituent profile before an Opportunity existed for them, or when you’re first getting started with Opportunity Pipelines.
You can link the existing record to the appropriate Opportunity to keep your data clean and avoid duplicates.
How to Link an Existing Action to an Opportunity
Step 1: Go to the constituent's profile
Navigate to the profile of the constituent whose Action you want to link.
Step 2: Locate the Action in their Action list
On the constituent's profile, find the Action you want to link to an Opportunity.
Make sure you've identified the right Action before proceeding — check the Action type, date, and any notes to confirm it's the one you want to link.
Step 3: Link the action to a Pipeline Stage and Opportunity
Open the Action and add the following two Campaigns to it:

The Pipeline and Stage Campaign — this associates the Action with the correct Pipeline and the stage it belongs to within that Pipeline

The Opportunity Campaign — this links the Action to the specific Opportunity within the Pipeline
Both Campaigns need to be added for the Action to appear correctly inside the Opportunity.
Step 4: Confirm
Once both Campaigns have been added and the Action is saved, it will count towards the Opportunity’s statistics and/or task list. The Action will also remain visible on the constituent's profile — linking it to an Opportunity does not move or remove it from the profile.
What Happens After Linking

The Action appears in the Scheduled Actions list when you open the Opportunity in its Pipeline

The Action continues to appear on the constituent's profile as before

If the Action is past-dated and verified, it will be included in the Opportunity's calculated statistics immediately

If the Action is unverified, it will follow the standard verification rules — it won't count toward statistics until verified. If it's assigned to a user and is overdue or among their three most imminently due tasks, it will also appear in their My To-Dos on the Pipeline Overview tab
A Note on Linking Actions to Multiple Opportunities
Technically, the same Action can be linked to more than one Opportunity. However, this is strongly discouraged in almost all cases.
Linking one Action to multiple Opportunities will cause it to be counted in the statistics of each Opportunity it's linked to. This means donation amounts, action counts, and other calculated figures will be overstated, which can skew your Pipeline reporting and fundraising totals.
As a general rule: one Action should belong to one Opportunity. If you find yourself considering linking an Action to multiple Opportunities, it's worth pausing to confirm which Opportunity it truly belongs to before proceeding.
